Updates in Contract Validation

This update introduces a new feature of the carrier contract validation against existing contracts in Cargoo during the booking process.

If the Contract Owner is inherited from contracts, it becomes non-editable, but the Freight Payer can still be modified.

Booking Process

When you place a booking via Cargoo, you have the possibility

to select if you book under existing carrier contracts in Cargoo, or
if you want to add a contract manually.

Entering Contract Information Manually

When a contract is manually added, Cargoo will validate the entry against existing contracts and, if they match, the system will auto-adjust the Contract Owner and the Freight Payer parties as per the existing contract.

The system validates the following details (Picture 1):

Rates Consumer Company.
Contract Number.
Valid From ~ To, or ETD.

If found, the auto-update is processed

If not found in the database, the data needs to be corrected manually.

When Cargoo automatically adjusts parties, you will get notified by a pop-up message (Picture 2).

If the Contract Owner is inherited from contracts, it is non-editable (Picture 3), and the Freight Payer can be modified.

The system automatically adjusts parties:

If both the Contract Owner and the Freight Payer are provided in the shipment and match the contract information, they will remain unchanged.
If either the Contract Owner or the Freight Payer is provided in the shipment and does not match the contract information, the party information will be updated to reflect what is in the contract.
If neither the Contract Owner nor the Freight Payer is provided in the shipment, the party information will be added to reflect the contract details.
The Contract Owner party from the contract will be locked for editing (Picture 3).

The Freight Payer party from the contract will remain editable (Picture 3).

This feature increases the accuracy of payer and contract information populated in shipments.
